When creating a schedule, it is important to be aware of the configuration rules to avoid conflicts. In this article, you will understand how all the parameters involved in creating or editing a schedule work.

Required fields
Checklist: select which checklist will be applied. It is possible to choose only one checklist per schedule.
User: define who will be responsible for starting this application. Currently, it is possible to select more than one user. You will find more details in the section Scheduling with multiple users.
Unit: choose in which units the checklist must be applied. The system generates a schedule for each selected unit, and all remain pending until they are completed in all of them.
Important: the system displays all units where the checklist can be applied, even if the user creating the schedule does not have access to them. This happens because the scheduling considers the access of the consultants responsible for execution.
Start Date and Time: define when the checklist can begin to be executed. If desired, enable the option “Allow performance before scheduled deadline” to permit it to be started before the configured time and date.
End Date and Time: this is the maximum deadline for the checklist to be executed before it becomes overdue.
Scheduling with Workflows
If your company uses the Workflows module, you can select a workflow for this schedule. Only the checklist of the first stage will be scheduled. The next stages must be performed according to the sequence and deadlines configured in the workflow.
Scheduling with multiple users
Now it is possible to create a schedule for several users at once! It works as follows:
- You select the users and the units (provided all users have access to that unit);
- The system creates a single schedule per unit;
- All users can start the checklist, but only the one who starts first becomes the person responsible for execution in that unit;
- If necessary, it is possible to restart the schedule, making it available again for any other user to start.
Recurring schedules
You can program the schedule to repeat in the following ways:
Daily: every day or every X days (e.g., every 1, 2, or 5 days);
Weekly: on specific days of the week (e.g., Mondays and Thursdays) and with a weekly interval (e.g., every week, or every 2 weeks);
Monthly: on a fixed day of each month, with the possibility of defining an interval (e.g., every month, or every 3 months).
Attention to the limits of repetition periods: daily and weekly recurrences can be programmed for up to 365 days and monthly recurrences can be programmed for up to 5 years.
Additional features
All day: allows the checklist to be applied at any time within the chosen date.
Observation: add information or instructions about the schedule. This helps other users understand the context of that checklist in the future.
Editing recurring schedules
When editing a schedule that has a recurrence, you can choose whether to change only that specific occurrence or the entire series of future schedules.
If the change is to the repetition rules (such as days or frequency), it will always be applied to the entire series.Duplicate schedules
Some checklists may have restrictions to prevent them from being scheduled more than once on the same day, time, unit, and user. If this occurs, the system will prevent the creation of the duplicate schedule. This configuration is done directly in the checklist, under the "Registration data" tab.
